Job Title: Administrative Assistant

Job Type: Part- time (Expected hours: 20 hrs per week)

Location: San Jose, CA

Jade Global is seeking a highly motivated and organized individual to join our team as an Administrative Assistant. In this role, you'll play a vital role in supporting our daily operations and ensuring a smooth workflow. This role will be a part-time opportunity.

Job Duties:

  • Maintain all immigration paperwork (printing paperwork for signature, collecting required checks, posting LCA s, printing and filing PAF)

  • Coordinate new hire kit for new hires

  • Manage all orders with vendors for HR and Marketing purchases

  • Assist with event planning and coordination

  • Create fliers and signage for HR events

  • Assist with maintaining

  • Check the mail in office

  • Assist in maintaining physical employee files and HRIS

  • Answer and direct incoming calls

  • Greet employees and guests upon entry and exit

  • Maintain break rooms with full stocked items (check daily)

  • Ship and receive all documents and packages

  • Pick up any required items for the office (supplies, decorations, breakfast, etc.)

  • Maintain corporate apartment (house cleaner, calendar bookings, handyman)

  • Work with talent acquisition on room bookings and schedule for onsite interviews

  • Organize food orders for meetings and events.

  • Order breakfast/weekly lunch for employees

  • Help coordinate HR and marketing events

  • Assist managers in coordinating team events

  • Complete all required travel bookings

  • Print badges and send access requests to property managers

  • Order business cards for new hires

  • Highly organized and detail-oriented, with the ability to prioritize tasks effectively.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Adaptable and flexible, with the ability to thrive in a fast-paced environment.

  • Although our standard hours are Monday-Friday from 10:00 am to 2:00 pm, a willingness to be flexible is essential.
